Overview:
Element Santa Fe Springs has a current opening for a Casual
Administrative Assistant. The duties of the
Administrative Assistant are geared toward ensuring that documentation necessary is obtained from clients and/or provided to clients in a timely manner. The
Administrative Assistant is expected to accurately process & deliver reports and obtain information needed from clients, assist with log-in samples for most, if not all, of the routine studies performed at the laboratory, disposes of samples, and performs associated documentation and data entry. Other general office duties such as scanning, filing, mailing, and answering phones may also be required of this position.
The pay rate for this role is a range between $18-$21 per hour, based on previous and relevant experience.
Responsibilities:
- Typing Certificates of Analysis and Sample Tests for testing performed in the lab
- Obtaining payment information/credit card payments/PO's for clients
- Following up groups on report/technical questions
- Assisting with administrative support purchasing, invoicing, filing, making copies, etc
- Provide administrative support to technical staff whenever necessary and appropriate
- Provide administrative support to managers whenever necessary and appropriate
- Ensure that administrative co-workers receive the help and support they need in order for the team as a whole to succeed
- Sample log-in according to applicable Element SOPs
- Processing of incoming order from clients
- Subcontracting and shipment of test samples to other Element or external laboratory locations for testing
- Compliance with GMP/GLP and ISO requirements as these pertain to sample log-in
- Miscellaneous word processing tasks (letters, attachment, etc.)
- Miscellaneous office tasks (filing documents, mailing documents, sorting incoming mail, scanning, answering phones, etc.)
- Knowledge of and familiarity with all SOPs pertaining to administrative functions
- Participation in administrative staff meetings and training sessions
Skills / Qualifications:
- High School Diploma
- Technical education / some college/training (or equivalent in experience) preferred
- Previous office experience preferred
- Pharmaceutical analytical lab experience preferred
