Qualifications and Skills

  • Experience as an office assistant or in a related field
  • Strong interpersonal skills and ability to build rapport with patients, families, and healthcare providers
  • Sensitivity to the needs of diverse populations
  • Ability to work well, prioritize and multitask in a fast-paced environment with limited supervision
  • Great attention to detail
  • Excellent time management skills with a proven ability to meet deadlines
  • Excellent written and verbal communication skills
  • Ability to assess problems, provide solutions and use good judgment while articulating concepts and ideas in a clear, concise, and accurate manner
  • Protect client's rights by maintaining confidentiality of personal information
  • Knowledge of medical terminology and insurance procedures preferred
  • Maintain operations by following policies and procedures
  • Extensive Calendar management
  • Proficient with Windows, Microsoft Office Suite, and Google Suite
  • Extensive filing, data entry, and document scanning
  • Basic HR knowledge

Duties/Responsibilities

  • Answers phones, directs calls to appropriate individuals and prepares messages
  • Serves as the point person for general inquiries about the company and services provided
  • Assists prospective employees with the onboarding process, training modules, and systems setup and updates
  • Obtains and verifies prospective clients' insurance information and ensure that all necessary documentation is complete
  • Follows up with existing clients to ensure that their service plan is progressing smoothly
  • Maintains accurate and up-to-date client and employee records
  • Manages mail, FedEx, UPS, and courier requests
  • Maintains office inventory and organization
  • Completes external errands, walking and driving, including but not limited to picking up and dropping off documents
  • Partners with HR to update and maintain office policies as necessary
  • Provides administrative support to the Office Manager and the Administrator, as needed

Education and Experience:

  • High school diploma or equivalent required; college degree in healthcare administration, business, or related field preferred
  • Valid driver's license (Required)
  • Administrative experience: 5 years (Required)
  • Ability to type at least 60 words per minute (Required)
  • Customer service: 3 years (Required)
  • Healthcare Industry knowledge (Preferred)
  • Bilingual in English and Spanish (Preferred)

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer
  • Occasionally will need to reach with hands and arms, lift up to 25 pounds, climb/balance, stoop/kneel/crouch/crawl, and push/pull file cabinet drawers
  • Position requires occasional (20%) travel within the local area, traveling to office and business locations to conduct business transactions
  • Exposure to weather conditions, traveling distances to and from buildings, and operating a vehicle

Schedule:

  • 8-hour shift (Mon. - Fri.)
  • Day shift
  • Work Location: in person
  • Weekend availability
